There are a lot of free unlimited email verifier online services that provide email verification services so that your email marketing campaigns do not suffer. Bounce rates that high will damage your sender reputation.

A poor sender reputation leads to poor deliverabilitywith campaigns landing in spam folders instead of inboxes. They wont do you any good in there, so your chances of conversions, leads and sales will drop off the scale.

With the accuracy of your email addresses and campaigns failing, all you can expect is poor performance and weak results.

A Simpler Way To Test Email Domain Reputation

While not very scientific, an easy way to get an idea of where you stand with different email providers is to sign up for your own emails with a new email address. I recently ran an experiment where I subscribed to the email lists of several dozen companies using several different personal email addresses to see where their emails would land.

While some companies welcome emails made it to my inbox or promotions, many went directly to spam. Keep in mind, these are welcome emails from well known companies, and their first email went straight to my spam folder. Not a great start.

I knew from prior research that all these companies use the same well-respected marketing automation platform for email delivery and that none of them had a dedicated sending IP. This means the results I was seeing were likely due to domain, not IP reputation.

What Do A Valid And Invalid Email Address Look Like

Every valid email address has three crucial components ensuring validity. Courtesy of VerifyBee, this is an example of a valid email address in three parts:

  • Example-email: This is the local part of the email. Its also the unique name each email address has within a given email domains server.
  • testServer: This is the domain name that the address belongs to.
  • .com: This is the domain identifier that identifies what kind of domain it is that hosts the recipient server.
  • In short, the local address in VerifyBees example is, example-email. It belongs to the domain testServer, and .com is the domain identifier. Its important to understand that every valid email must contain an @ symbol before the domain.

    An invalid email address will likely have spelling or formatting errors in the local part of the email or a dead domain name.

    How To Ping The Server To Validate An Email Address

    One way to check if an email address is valid without sending an email is to ping the mail server.

    Youll need to use a console app to do this. Its an accurate test, but its longwinded, technical, and overly time-consuming for more than a few addresses.

    1. First, youll need the MX record from the domains DNS server. You do this by using a lookup command in your console app. Once youve accessed the list of mail exchanger MX records, you want the one with the highest priorityand thats the one with the lowest preference value.

    2. Validate the address via SMTP. Again, using your console app and the appropriate commands, connect to the email server via the MX record previously located, establish an SMTP handshake, specify the email address that needs validating, and finally perform its validation.

    3. View your results. You will receive a 250 OK message for a valid address or the following message for a fake address: The email account that you tried to reach does not exist. Please try double-checking the recipients email address for typos or unnecessary spaces.

    As we said, this is a long-winded process that requires a more than a basic level of expertise. Its useful if you only have one or two addresses to validate, but if youve got a long mailing list of addresses to validate, its really not a practical option.

    Verify Your Google Workspace Domain

    Now that youve created a user, head to and log in with your new credentials.

    Once youve logged in, there is a tutorial that will help you set up Google Workspace. You will start by verifying your Google Workspace domain.

    The default option is adding a TXT record to the DNS records of your business site. Adding the TXT record to your DNS wont affect your website or domain in any way.

    Once youve selected the TXT option, Google will generate a code that starts with google-site-verify. Click the Copy button to copy the code to your clipboard.

    Now you need to access the DNS tool of your hosting provider in a new tab or window. Dont close the Google Workspace tab.

    Existing Kinsta customers should use the Kinsta DNS tool.

    Select TXT from the Type dropdown menu.

    Copy and paste the verification code into, and press the Add DNS Record button.

    Once youre done, return to the tab with the Google Workspace signup page in it.

    Scroll to the bottom of the page and click the Verify my domain button to complete the verification.

    Note: It may take a few minutes for the DNS records to go live, so it will take some time before Google can complete the authentification.

    How To Send Emails In Gmail

  • Choose Yes, I want to be able to send mail as e.g.
  • In general, you should leave Treat as an alias checked. This is the setup when you have all your email coming to the same Gmail inbox.
  • If you want to send email on behalf of another account, then untick it. This would be the case when you have several accounts that you log into separately. Unchecking this box allows you to respond to email from an account that you are not currently logged into.
  • Refer to the cPanel email settings you made a note of before

  • Enter the outgoing SMTP Server
  • Enter your full email address as the Username
  • Enter Password for your email account
  • Choose a secured connection using SSL. Make sure the port is changed to 465
  • Verify your email address
  • Because we set up email forwarding before, a confirmation email will be sent to your Gmail
  • All done! You can now send and receive emails using Gmail
  • Should You Publish Your New Email Address

    Now you have a brand new email address, youll likely want to share it. But sometimes, sharing email addresses online isnt a great idea.

    If you share your email address, you could wind up getting spam or phishing emails. You could also be added to email marketing lists that you dont want to join. The same goes for sharing your phone number online.

    Instead, we recommend that you publish a contact form on your website. You can easily send the notification emails to your new email address, so youll still get messages without anyone being able to copy your new address to spam you.

    Activate Gmail For Your Google Workspace Account

    The final step is to activate Gmail for your Google Workspace accounts.

    On the page, youll see the following MX records:

    • aspmx.l.google.com / priority = 1
    • alt3.aspmx.l.google.com / priority = 10
    • alt4.aspmx.l.google.com / priority = 10

    Youll need to open a new tab and go to your hosts DNS tool, or re-open the DNS tool tab from earlier.

    Typically, you would need to copy and paste manually, but not with Kinsta. Since we are big fans of Google Workspace, we have created a one-click solution for helping our customers setting this up quickly.

    Simply access Kinsta DNS through MyKinsta, and click the Add Gmail MX Records button at the top of the page.

    The MX records, like nameservers, are the same, regardless of the user, so you dont have to change anything. Press the Add 5 records button to proceed.

    Since it can take some time for the changes to go live, you can take a tea or coffee break before continuing.

    Alternative Method For Other Hosts

    For other hosts, youd need to access your DNS tool, for example, through logging into your cPanel and opening DNS Zone Editor.

    Select the appropriate domain, and then click the Add Record button to open a new window.

    Fill out the appropriate priority and then copy and paste the destination. Double-check that everything is correct, and click Add Record to complete. Repeat the process for the four alternative MX destinations.

    If your host has email enabled by default, you might need to remove existing MX records.

    How To Make Your Own Email Address With Your Own Domain Name And Gmail

    Heres a step-by-step guide on how you can step up your custom email with different web hosting services:

  • Get a custom domain name and subscribe to a hosting plan that offers email hosting services.
  • Log in to your web hosting account and find the email services tab on your CPanel.
  • Connect your hosting account to Gmail services. Make sure all of your information is correct.
  • Verify your custom email address by forwarding and replying to a pseudo email.
  • You can now promote your new custom email address on your website and other social media accounts. To generate a high level of conversions, use your new custom email address for email retargeting purposes.

    How To Add Email Forwarding

    You do not have to set up a forwarder from your domain email address to your Gmail address but it should provide faster delivery of new mail to Gmail. Before you configure Gmail, you should create an email forwarder.

    Return to the cPanel and create an email forwarder from your custom domain email address to your Gmail address.

  • Under the Email & Office tab, find the Forwarders section.
  • Now all emails to will be forwarded to your Gmail account.

Clicking on the bookmark, instead of following a link or typing the URL, ensures the correct URL loads each time. For instance, instead of typing “mybank.com” or performing a Google search for the bank’s website, create a bookmark for the website.

    How To Check If An Email Is Valid

    Why Use A Custom Mail From Domain

    While this level of authentication is sufficient for many senders, other senders prefer to set the MAIL FROM domain to a domain that they own. By setting up a custom MAIL FROM domain, your emails can comply with Domain-based Message Authentication, Reporting and Conformance . DMARC enables a sender’s domain to indicate that emails sent from the domain are protected by one or more authentication systems.

    There are two ways to achieve DMARC validation: using Sender Policy Framework , and using DomainKeys Identified Mail . The only way to comply with DMARC through SPF is to use a custom MAIL FROM domain, because SPF validation requires the domain in the From address to match the MAIL FROM domain. By using your own MAIL FROM domain, you have the flexibility to use SPF, DKIM, or both to achieve DMARC validation.

    Why Do Emails Go To Spam

    Despite me explicitly requesting to be added to these companies email lists, Gmails spam filter had determined I was not going to miss emails from these brands if they put them in spam instead of my inbox. That’s not a great place to be as a brand or marketer!

    So why is gmail classifying these emails as spam? The message they tag spam with makes it pretty clear:

    Why is this message in spam? It is similar to messages that were identified as spam in the past.

    In the case of the message above, this was a legitimate transactional message from a new subscription service I had just joined. I had to dig it out of my spam folder because the companies email domain reputation was so poor that even their payment receipts end up in spam.
