Configure A Pop3 Send Only Account

When you configure your Outlook.com in Outlook, Outlook doesnt allow you to actually send as an address that is from a 3rd party provider or a custom domain alias .

When you are using Outlook 2013, 2016, 2019 or Microsoft 365, these type of aliases are still shown in the From dropdown menu, but when you try to send as such an alias, the recipient will see it as

  • Open the Send/Receive Groups dialog by pressing the CTRL+ALT+S keyboard shortcut or as an alternative use:
  • File-> Options-> Advanced-> button Send/Receive
  • In the Send/Receive Groups dialog press the Edit button.
  • In the left section, select the POP3 account.
  • In the Account Options section, disable the option for Receive mail items.
  • Press the OK button until you have closed all open dialogs.
  • Open your Account Settings.
  • File-> Account Settings-> Account Settings
  • Select your POP3 account and use the Change Folder button at the bottom to set the delivery folder of the POP3 account to the Inbox of your Outlook.com account.

    The subdomain you use for your MAIL FROM domain has to meet the following requirements:

    • The MAIL FROM domain has to be a subdomain of the verified identity that you send email from. For example,mail.example.com is a valid MAIL FROM domain for the domain example.com.

    • The MAIL FROM domain shouldn’t be a domain that you send email from. If you have to use the MAIL FROM domain in a From address, either disable email feedback forwarding and receive your bounces through Amazon SNS notifications, or ensure that your MAIL FROM domain is not the destination for feedback forwarding. To determine the destination of email forwarding feedback, see Email feedback forwarding destination.

    • The MAIL FROM domain shouldn’t be a domain that you use to receive email.

    So What Happens When You Send An Email

    All email services work in a similar way, but lets describe here what happens when you send an email through the Runbox mail servers.

    1. Your computer sends the email you want delivered from your computer or other device to our SMTP server.

    2. Our SMTP server looks at the address for delivery and works out which mail server on the Internet handles email for that domain.

    3. Our SMTP server contacts the recipient server directly and asks it if it will accept email for that email address. If the answer is yes, then the message is handed over and the recipient server is now responsible for delivering it.

    4. The recipient server looks at the local-part of the address and delivers the message to the appropriate email account.

    The main thing to do now is to configure that new email address in your email tool .

    Go back to cPanel on your new host, and click on Email Accounts.

  • In general, you should leave Treat as an alias checked. This is the setup when you have all your email coming to the same Gmail inbox. If you want to send email on behalf of another account, then untick it. This would be the case when you have several accounts that you log into separately. Unchecking this box allows you to respond to email from an account that you are not currently logged into.
  • Refer to the cPanel email settings you made a note of before

    4. Enter the outgoing SMTP Server

    Create An Identical Email Address On The New Host

    In cPanel, go to Email Accounts.

    Click on + CREATE.

    Youll see the following form:

    • Domain. Select your domain name from the list the one you added a minute ago.
    • Username. This is the identifiable part of your email address the part that comes before the @ sign. This step is crucial! The email address has to be identical to the one youre currently using. This means that it has to use the same spelling and capitalization.
