How to Use Gmail (FREE) for Your Custom Domain Email Address

Yesterday a user contacted me on saying that she has received a scam email sent from an email address originating from my domain, uxwizz.com.

You might know that anyone can set any address in the “from” field when sending an email. I thought there was nothing I could do about it, but upon looking deeper into it I realized that some of my email settings were wrong, which might allow attackers to send spoofed emails on my behalf.

I did have DMARC setup, but my SPF and DKIM records were invalid.

After looking into it, I realized that there’s a lot more to learn about it than I thought, so here’s a summary of what I learned.

How To Send Email From Your Own Domain Using Smtp Custom Smtp Server Name

We provide each server with a FREE domain name that you can use only for the purpose of sending mass email, But you may wish to use your own domain name for your account’s SMTP server.

You should register a domain name to host on your VPS server in order to get more legitimacy to your out going emails, and we don’t recommend you to use your current website domain name , that is sending mail shots is not always pure from SPAM risk which may harm your official website domain name.

You can send email from your domain using SMTP instead of using our default mail servers, Depending on your intended use, you may wish to use a subdomain at your own domain name for your account’s SMTP server.Using SMTP allows you to send out transactional emails to your customers as if the email originated from your COMPANY email address, so all replies will be independent of our SMTP mail servers.

Consider The User Experience Best Practices & Don’t Be Too Cute

Email marketers have big plans. And those aspirations can lead to beautifully crafted emails that drive engagement like never before, or they can lead to marketers stubbing their deliverability toes by moving too fast on an idea or waiting until the last minute to get all their ducks in a row.

Unrealistic timelines for implementation and lack of a thoughtful approach are some of the most common reasons why you may see unfortunate results for what would have been an otherwise successful campaign.

Thankfully, I recently sat down with blocklist providers and managers from Proofpoint, Spamhaus and SURBL during the ANA Email Evolution Conference.

They were able to share some incredibly helpful advice on how to stay off their radar, and keep your messages flowing into the inboxes of your recipients. You can check out my full recap from our discussion later.

For now, Ill share a few of their insights, each of which can double up as subdomain best practice. More importantly, each of these insights is highly applicable to selecting a new sending domain:

Consider the user experience with your brand. Marketers are often tempted to use lookalike domains for a new project or email stream This typically happens because doing so allows you to bypass certain authentication challenges and corporate red tape that may come with sending from a subdomain under their companys top-level domain .

Because of spam, most ISP and email providers will not allow you to spoof an email using their SMTP servers.

You will need to sign up for a hosted email package which will provide you with an SMTP server for use with your domain.

The registrar of your domain may offer such a package.

If not there are many hosting providers which offer email only packages.

One non-free option is to sign up for a account which gives you a full Gmail account but using your domain instead of @gmail.com

Some Tools That I Used

To test if the policies are correct, the tools I found more useful are:

I hope that by fixing my email authentication on my domains it will be a lot less likely for phishing emails to be sent using my domain names.

I hope you found this post useful. I tried to make this as concise as possible and provide examples, as I spent several hours trying to understand all those policies and how to set them up, having a hard time finding a TL:DR on how to quickly setting up email authentication.

Why Use A Custom Mail From Domain

While this level of authentication is sufficient for many senders, other senders prefer to set the MAIL FROM domain to a domain that they own. By setting up a custom MAIL FROM domain, your emails can comply with Domain-based Message Authentication, Reporting and Conformance . DMARC enables a sender’s domain to indicate that emails sent from the domain are protected by one or more authentication systems.

There are two ways to achieve DMARC validation: using Sender Policy Framework , and using DomainKeys Identified Mail . The only way to comply with DMARC through SPF is to use a custom MAIL FROM domain, because SPF validation requires the domain in the From address to match the MAIL FROM domain. By using your own MAIL FROM domain, you have the flexibility to use SPF, DKIM, or both to achieve DMARC validation.

Many services allow hundreds for forwarding rules or aliases to be created. Suppose John runs a small business but wants to give website visitors the confidence that theyre dealing with a solid company. He could create forwarding rules for , , , and so on, and have them all forwarded to As John adds employees he can change the forwarding rules to go to other email addressesyou can have as many aliases as you want pointing to the same destination email.
