How To Check Your Domain Reputation & Email Reputation

Once you discovered your IP, you can use another tool to check its reputation. Its called Talos and its one of the tools provided by Cisco. This tool allows you to enter your email server IP or your domain to check the reputation of both.

Then, it will show you if the reputation of your domain or IP is assessed as Good/Neutral/Poor by other email service providers. This is crucial. You aim at Good, of course. Neutral should give you a sign that theres something you can improve. Poor means that probably most of your emails wont get to their destination.

What Is A Record And Mx Record

Verify and Authenticate Your Domain with MailChimp

In simple words, the record means any data in a proper and structured form. In the programming language, the DNS records are the “mapping files.” Whenever you enter any website in your browser bar, the request is sent to the DNS database. The database looks up its DNS records, gets its IP address, and sends it to the requesting client.

MX records stand for Mail Exchange records and are set in the DNS for sending the email to your email address. The MX records tell which mail server will receive the incoming emails for that specific domain and where your domain’s emails should be routed as per the Simple Mail Transfer Protocol .

The email servers check the MX record of your domain before sending the email. If no MX record is found, the email will fail to send. Moreover, if your MX records point to the wrong location, you will be unable to receive the email. These records are necessary to set up, especially when you using the custom email address for your domain.

Example of an MX record

  • 10 mail1.example.com
  • 20 mail2.example.com
  • Here the number represents the priority hierarchy a lower number will be preferred first. The server will first try mail1 to send the email. If it fails to send an email, then it will move towards mail2 for sending an email. Therefore, you must set the MX records of your domain appropriately. If you put them incorrectly, you will not receive the email.

    Quality Control Your Email Lists

Spammers send emails to any email address they get their hands on. Thats why sending emails to invalid email addresses, misspelled emails, disposable emails, spam traps, and other unusable email addresses will negatively impact your email deliverability.

So, you must validate the emails on your email lists. That way it doesnt look like youre indiscriminately sending emails to any email address like a spammer.

Validating emails also improves your email performance because you wont be sending emails that never get opened or read.

Also, establish sunset policies and regularly remove inactive subscribers from your email lists. Inactive subscribers send negative signals to email service providers because they never open or engage with your emails. Some inactive subscribers may even mark your emails as spam, rather than unsubscribing.

If you frequently send emailson a daily or weekly basisyou should remove subscribers from your list after a shorter period of inactivity. If you only send an email or two a month, you can give inactive subscribers more time to engage.

But, once youve established a policy for removing inactive subscribers from your list, strictly follow that policy.

Ways To Check Your Sending Reputation

We always stress the importance of a strong sending reputation. Your sending reputation, or how mailbox providers judge your mail, is driven by how your subscribers are reacting to your messages. If the messages you send generate a lot of spam complaints, your sending reputation will worsen and future messages will be harder to get to the inbox.

On the other hand, if recipients are engaged with your messages, your sending reputation will be stronger and your messages will be more likely to make it to the inbox. Unfortunately, there is no single value or score that describes your sending reputation across all mailbox providers. However, there are a few tools, stats, and tips you can use to monitor and better understand your sending reputation.

How Can You Check If Your Ip Is Blacklisted

You wont get a notification that your IP is blacklisted. Instead, youll need to take action to find out. Here are a few ways you can tell:

    • Check a blacklisted site directly. Many blacklists are openly available, such as net. If you want to see whether your domain is being blocked by a specific site, you can search by that site either the IP address or domain.
    • Use a dedicated blacklist tool. You can perform a blacklist check on the MXToolbox. There are a number of free, online tools that you can use to check domain and IP address blacklists. There are a number of blacklists so each tool may not have access to all of themyou should check on more than one site.
    • Check your metrics. If your open rates have gone from 30% to 5%, you know something has happened that goes beyond the content of your emails. While this isnt definitive, its a good sign that something along the way is causing your emails to be dropped. This could be blacklisting, failed authentication, or other issues.
    • Send test emails. Send test emails out to a list of known email addresses and see how many of them are received and whether they end up moved to the spam folder. Test emails will show not only whether emails are being delivered but how theyre being delivered.
    • Use an email monitor. A built-in email monitor, such as the MassMailer Email Monitor, will check blacklists automatically when you send emailsproviding you with the fastest, most actionable information.

    • Domain email address and password
    • Incoming mail server and port information
    • Outgoing mail server and port information

    Email clients

An email client is a software that is installed on your computer to allow you to access your emails on your server. In other words, in order to use an email client, you will first need to install it on your computer or mobile device.

If you have the Microsoft Office bundle installed on your computer, you will find Outlook a part of the bundle or if you are using a Mac, you can easily find Apple Mail, the default Mac email application.

Once you have installed the email client, you will then need to configure it so that it knows where to retrieve your emails from.

You can find all these information in your Doteasy Member Zone, under View Email Client Info.

Note that Doteasy offers two mail server platforms so the information you see may differ.

For example, if you are on the cPanel mail platform, you will find two sets of email client information: Secure SSL/TLS and Non-SSL Settings. If this is the case, we strongly recommend using the Secure SSL settings for maximum email account security. You will also have the option to choose between POP3 or IMAP.

On the other hand, if you are on the SmarterMail platform, you will only see the Non-SSL settings. Also, the only incoming mail type is POP3.

  • Domain Reputation Vs Ip Reputation

An IP address is a number that identifies computers on the internet. Your IP address works a bit like an address that other computers use to find your computer on the internet.

When you send an email, email service providers use the IP address attached to your sending domain to determine where the email came from. So, your IP address gets an email reputation score.

Your domain is the name of your sending email server, which email servers can use to look up the IP address. Your domain also gets a reputation score.

Heres why the difference between these two reputations is important:

The IP address for your domain can be changed. And, when the IP address changes, the IP reputation gets reset.

On the other hand, domain reputation gets attached to the domain name. So, your domain reputation will stay with your domain name, wherever it goes.

In short, its much easier to fix your IP reputation than it is to repair your domain reputation.

Since domain reputation is more permanent than IP reputation, many mailbox providers use domain reputation. But its not the universal standard, yet.

Additionally, you may need to use multiple IP addresses if you send a lot of emails. So, you still need to keep an eye on your IP reputation.

But, were going to focus mostly on domain reputation in this article, because repairing your domain reputation can be very challenging.
