Ready to make your company’s G Suite account? Just click the Get Started button on the G Suite site. Enter your company name, and select the number of employees your company has. Don’t worryyou can always add more people as your team grows.

Then, select your company’s location for locale and billing purposes, and enter a current email addressperhaps the Gmail account you’re already using. That’s where Google will send your account info after you sign up.

You can then enter your current domain name, or search for a new domain name to use with G Suite if you don’t already have one. Google charges $12/year for .com domain names.

All that’s left is making your own G Suite account. Enter your name and an email address you want to use for yourself with your domain, along with a password for your new G Suite Google account. You’ll use this email address and password to log into any Google apps in the future.

Google will then give you a phone number to call a Google advisor and let them walk you through the steps of setting up your G Suite account. But it’s not that hardso if you feel comfortable managing your domain name and website, you should be fine setting up G Suite on your own.

Click Next, and you’ll see the G Suite setup screen. It makes setting up the rest of your account as simple as filling out a Google Form.

Forwarding Emails To Gmail Account

Now that we have the necessary data, its time to set the Gmail account so it can receive messages sent to your custom domain email. Heres how:

  • Log in to your Gmail account, click on the gear icon and select Settings -> Accounts and Import.
  • Choose Add a mail account under the Check mail from other accounts section.
  • After you entered your domain email, click Next -> Import emails from my other account -> Next.
  • Fill in the details using the server information we located earlier. The server were using is pop.hostinger.com, and the port is 995.
  • Check the boxes as needed, but we recommend to tick the first three boxes as you can keep two copies of the same messages on different platforms, use a secure connection, and label incoming messages according to its original email destination.
  • Click Add Account to finalize the settings.
  • Youll be prompted with the option to send emails from your custom address. If you only need Gmail to receive emails and choose No, youll be all set! But if you want the platform to be your one-stop destination to receive and send messages, select Yes and continue to the next part.
  • Change Domain Privacy Information

    If you bought domain privacy when you originally purchased your domain on Google, you will need to disable it before you start the transfer process. To prevent any other roadblocks, its probably also a good idea to select the option to Publish your info in the WHOIS directory.

    So, simply go to the section that says Privacy Protection and select the radio button next to Privacy Protection Off and then the one to publish your info in the WHOIS directory. Heres a screenshot of what it looks like:

    Step 3: Generate an authorization code Next, you need to click on the two arrows in going in a circular motion logo at the top right of the page. This will take you to the registration and transfer out section.

    Scroll down to the middle section titled Transfer out. Simply click the button that says Get Authorization Code and a window will pop up like so

    Be sure to copy and save this authorization code separately so you dont lose it. Make a text file on your computer or email it to yourself. If you are selling a domain name, you will need to give this authorization code to the buyer.

    Transfer A Domain To Another Registrar

    If you’re transferring a domain to another account in Google Domains, you or someone else must manage the domain. Learn how to share domain management with other users.

    Importing your domain email account into Gmail

    If youre willing to pay, another way to use Gmail with your own domain name is to pay for .

    G Suite essentially lets you create an entire Google account with your own custom email, instead of using a Gmail address. This not only gives you access to Gmail with your own domain name, but it also gives you separate access to other Google tools such as:

    • Drive
    • Calendar
    • Etc.

    If you have an organization, you can also set up Google Workspace for your entire organization so that you can all easily share files with one another.

    Theres a lot to like about this method. However, the downside is obviously that it isnt free! Google Workspace starts at $6 per month per user. So if its just you, youll pay just $6 per month. However, if your business has five employees, you would pay $30 per month .

    Stop Synchronization With Gmail

    During the last task, you updated the MX record for your domain. Now it’s time to verify that all email is being routed to Microsoft 365 or Office 365. After verification, you can delete the migration batch and stop the synchronization between Gmail and Microsoft 365 or Office 365. Before you take this step:

    • Make sure that your users are using Microsoft 365 or Office 365 exclusively for email. After you delete the migration batch, email that is sent to Gmail mailboxes isn’t copied to Microsoft 365 or Office 365. This means your users can’t get that email, so make sure that all users are on the new system.

    • Let the migration batch run for at least 72 hours before you delete it. This makes the following two things more likely:

    • Your Gmail mailboxes and Microsoft 365 or Office 365 mailboxes have synchronized at least once .
    • The email systems of your customers and partners have recognized the changes to your MX records and are now properly sending email to your Microsoft 365 or Office 365 mailboxes.

    When you delete the migration batch, the migration service cleans up any records related to the migration batch and removes it from the migration dashboard.

  • In the new Exchange admin center, go to Migration> Batch. On the migration dashboard, select the batch, and then click Delete.

  • In the Classic Exchange admin center, go to Recipients> Migration. On the migration dashboard, select the batch, and then click Delete.

  • Create Spf Dkim And Dmarc Records

    For security reasons, we recommend adding SPF and DKIM records. Setting up DMARC is an optional, advanced feature.

    SPF and DMARC records are set up similarly to TXT records.

    1. Access the DNS section and scroll down to Custom resource records.

    2. To create the SPF record, locate the verification TXT and select Edit.

    Once selected, click on the + icon and enter and save this SPF value:v=spf1 include:_spf.protonmail.ch mx ~all

    3. To create the DKIM record, enter the following values:

    Name: protonmail._domainkeyType: CNAME RecordTTL:Select a low value to update your DNS record faster.Data: Go back to the ProtonMail custom domain setup window. Copy the text in the VALUE / DATA / POINTS TO column and paste it in the Data field.

    To add a second and third DKIM record, repeat these steps with the appropriate record names protonmail2._domainkey and protonmail3._domainkey.

    4. To create the DMARC record, repeat the steps and enter these values

    Name: _dmarcTTL:Select a low value to update your DNS record faster.Data: v=DMARC1 p=none rua=mailto:address@yourdomain.com

    Some Important Notes About This Method

    While the Gmail part of this method is 100% free, there are some caveats to this method in that youll need to already have email hosting to make it work. Typically, you would get this through your web host if you have a website.

    Add Users To Microsoft 365 Or Office 365

    You can add your users either one at a time, or several users at a time. When you add users, you also add licenses to them. Each user has to have a mailbox on Microsoft 365 or Office 365 before you can migrate email to it. Each user also needs a license that includes an Exchange Online plan to use his or her mailbox.

    Important

    At this point you have verified that you own the domain and created your Google Workspace users and mailboxes in Microsoft 365 or Office 365 with your custom domain. Close the wizard at this step. Do not proceed to Set up domain, until your Gmail mailboxes are migrated to Microsoft 365 or Office 365. You’ll finish the setup steps in task 7, Step 6: Update your DNS records to route Gmail directly to Microsoft 365 or Office 365.

    Migrate Email From Google Workspace

  • Sign in using an account with super administrator privileges .

  • From the Admin console Home page, go to Data migration.
  • Click Set Data Migration Up.
  • Under Migration Source, select Google Workspace.
  • Click Start.
  • Under Migration Start Date, accept the option that appears or choose a start date for your migration.
  • Under Migration Options, accept the options that appear or choose to exclude some data.
  • Click Select Users.
  • Perform the following steps on your target Google Workspace domain .

    Migrate email for a single user

  • Click Add user.
  • In the field, enter the user’s legacy Google Workspace email address.
  • In the Google Workspace Email field, start entering the user’s new Google Workspace email address and choose from the list of suggested users.
  • In the Password field, enter the user’s password for their legacy email account.
  • Click Start.
  • To migrate another user’s email, repeat these steps.
  • Migrate email for multiple users

  • Click Bulk upload with csv.
  • Click Attach File to upload the migration CSV file containing the legacy email addresses and the new Google Workspace email addresses.

  • Click Upload and Start Migration.
  • If there are errors in your file, choose an option:
  • To update the file, click Cancel. Then, upload the updated file.
  • To ignore the incorrect mappings, check the Ignore errors box.
