Stay Out Of Spam Traps

How to Avoid Getting Your Cold Emails Marked As Spam (In Depth Guide)

Email service providers and anti-spam groups use fake, or abandoned email addresses as a way to trap spammers .

These addresses wont bounce, because email service providers are purposely keeping them open. Dont get caught in this email marketing equivalent of a police sting operation. You will not win. There are two types of spam traps:

Removing Frequently Bounced Email Addresses

When you send a distribution that bounces, it can affect your sender score. Having a lower sender score means your emails are more likely to be automatically marked as spam. Management of bounced emails in your directory and mailing lists will protect your sender score to ensure reliable email deliverability. This section covers how to identify bounced emails so you can remove those addresses from your records.

  • for your email distributions.
  • Open the downloaded file on a spreadsheet editor on your computer.
  • Filter the Status column of your file for both Hard Bounce and Soft Bounce.
  • Verify the email addresses for every contact that bounced. You can look at the Bounce Reason column for an explanation of why the email bounced.
  • If the email is correct and valid, and you have confirmed that they can receive emails, contact Qualtrics Support for further assistance.
  • If the email is incorrect or invalid, you have two options for stopping emails. You can either opt-out the contact from your directory, or delete the contact if you do not mind losing any associated data. More about these options are below.
  • The following pages contain more information about opting-out and deleting contacts:

Emails Being Marked As Spam By Outlookcom

They are legitimate emails. One is a sample of a letter I’m going to send to job recruiters. One is a sample of a cover letter in the body and my resume as a PDF. Both going to the spam filter.

I have tried sending to other outlook.com emails as well, and most of the time it’s marked as spam.

My domain uses SPF and DKIM, and I’m sure it’s correct. I’d be willing to provide any part of the header necessary.

Your Recipient Marked You As Spam

In many email clients, users have an option to manually mark emails as spam.

If the person who youre trying to email previously marked your emails as spam, new emails that you send will also likely end up in the spam folder as well.

Additionally, if youre sending out bulk emails, too many people marking your emails as spam can negatively affect your reputation as a sender. This can increase the chances of your emails ending up in spam even when you send to people who didnt mark you as spam.

The ideal scenario is for your domain to not land on an email domain blacklist when doing cold outreach. Here are a few ideas to keep your domain out of blacklists:

    Avoid spam email content

There are keywords that are highly associated with spam and should be avoided. Some words include free, money, risk free, apply now, etc. Furthermore, the use of capitalising words screams spam as well as excessive use of exclamation marks and other punctuation.

    Get higher email engagement

Email engagement, which is email open and reply rates, is huge in determining whether an email is spam or legitimate. Since nearly all spam email will have a very low email engagement, if you are getting really low email metrics, it may appear to an ISP that you are sending spam.

Writing self-focused and salesy emails will receive spam complaints in the B2B world. Instead of talking about how good you are, shift your focus to the problem-solution dynamic and how your product fits into it. The prospect should gain value from the email without having to buy or start a conversation with you.

Watch your email campaigns bounce rate

A quick way to get your domain on an email blacklist is by having a high bounce rate. So, keep track of it and maintain it ideally under five percent. Ensure you have a process of regularly validating the data and checking to see if the email addresses are still active. In your campaigns, remove the bounced addresses to avoid sending follow-ups to them.

How Is Domain Reputation Calculated #

To determine domain reputation, receivers keep track of every way your domain is used in a message and how that message ends up performing in the inbox. Based on this data, major ISPs use complex algorithms to ultimately score your domain, checking that score when scanning future messages to establish a level a trust. The better your domain reputation check at a particular receiver, the less likely your future messages will end up rejected or in a spam folder.

So that means you dont have just one big domain reputation floating out there in cyberspace. Instead a domain has countless reputations unique to the proprietary scoring processes a specific receiver employs. Plus youre probably not sending the exact content and volume of messages to every single receiver, so as an example, its expected that Gmails seen at least slightly different engagement from their users than Yahoo.

Why Does Mailchimp Care If I Send Spam

When you send a campaign from Mailchimp your email messages are sent from Mailchimps servers using your email address. Should a recipient mark your message as spam then your domain quality is degraded in addition to the quality of the Mailchimp domain. Once your messages sent through Mailchimp get marked as spam at a rate more often than acceptable then Mailchimp will suspend your account and may ask that you reconfirm all your subscribers. This makes perfect sense when one understands that Mailchimps domains are at risk from your email messages being marked as spam.

Using A Legitimate And Trustworthy From Address

The best way to avoid getting marked as spam and ensure recipients they can trust your messages is by making sure the email address the message is from is aligned with the branding in the email. But because the email is coming from Qualtrics servers, you cant change your From address without proving you own the right to use it. Visit our page on Using a Custom From Address for simple ways to set up your email domains so you can use them through Qualtrics.

By default, emails sent through the Qualtrics Mailer come from noreply@qemailserver.com. Mail sent from a noreply address will make it through spam filters that check for forged emails . For this reason, we use the real sender as the From address rather than your own personal email.

Get Your Name Off A Blacklist

If you end up on a blacklist, it wont be easy to reliably send messages until you get it resolved. This is especially true for new addresses on your contact lists.

What you can do is first check if you have been blacklisted from services like the following:

    NOTE

If you have the unfortunate experience of being on a blacklist, youll have to first follow up on the website that added you to their blacklist. This will be the first step to getting this situation resolved.

In the end, theres really not much else that anyone can do about it. We cant control how messages are received or force people to control how they receive them. But you can make sure that you follow best practices to try and avoid being perceived as junk.

Proper Policy Formation Of The Newsletter

If the one you are sending is a newsletter , then you should follow the following lines:

    • A user must be able to unsubscribe from your mailing list by one of the following methods: A clearly visible link in the body of a message that directs the user to a page where he can confirm the cancellation of his registration . By replying to your email message, with a request to unsubscribe.Since Gmail can help users to automatically unsubscribe from your messages, we recommend the following: Provide a “List-Unsubscribe” header that points to an email address or URL by which the user can easily unsubscribe from future messages. Note. This is not a substitute method for canceling the subscription.
    • To further ensure that your messages are not marked as spam, we also recommend the following: Automatically cancels the subscription of those addresses that periodically reject multiple messages to the sender. Send confirmation messages to users from time to time. Include each mailing list they signed up for and offer the possibility to unsubscribe to those they are no longer interested in.
    • It is possible that your users forward mail from other accounts, so we recommend the following: Indicate explicitly the email address that has subscribed to your mailing list. Support a method of canceling the registration via URL from your mailing list .

You Dont Have Permission From Your Recipients

This one is simple: online privacy laws like the GDPR require that you must have express permission from recipients in order to send them emails. That means you cant simply purchase email lists to get quick access to a bunch of contacts .

However, it also means that even users who provide their email addresses on your site need to explicitly tell you that they want to receive emails from you, especially if theyre a citizen of the EU. This can come in the form of a disclaimer during account creation or on your contact form, or it could be a checkbox that users need to tick to indicate their willingness.

While this isnt necessarily required in the U.S., its still a good practice. People get a lot of emails these days, and if your messages start suddenly appearing in someones inbox when they didnt ask for them, theres a decent chance they may be marked as spam.

How To Prevent Email From Going To Spam

How to avoid emails going to Spam in 2020 – Emails marked as SPAM

How to avoid email spam filters is vital for any marketing or sales team to know. The following are some important strategies and spam filter testing tips to help you get into the inbox of Gmail subscribers and prevent deliverability problems in the future:

  • Check the email content. If you have a deliverability issue, check to see if the content is to blame. Start by sending a neutral message to a Gmail address using your existing sending infrastructure including the from address, sending domain, and IP address. If it doesnt get filtered to Google , break up the copy of the problem email and be sure to send it in pieces to determine if the problem is located in the subject line or message copy. And keep in mind that it could be an image or a link thats causing the deliverability issue.
  • Tell subscribers to watch for your email messages. Emails to confirm a purchase or new subscription are among the most opened emails. So use them to tell your subscribers to watch for upcoming campaigns and to check their spam folders if they dont receive them. Its possible users may have created an email rule or spam filter that either blocked or marked your email address and content as junk email. You may also want to remind your users how to set rules in Gmail: to click the not spam link if they find your email address in their Gmail junk folders, which will let Google know that they want to receive your email campaigns.
